Ricoh fi-800R: counter-top scanner that handles paper, ID cards and passports in a 105 mm deep footprint
40 ppm / 80 ipm duplexPassports up to 5 mmOnly 296 x 105 mm footprintWindows, macOS, Linux
The Ricoh fi-800R (formerly Fujitsu fi-800R) is a compact front-office document scanner with a 20-sheet duplex ADF at 40 ppm / 80 ipm and a separate front-loading return path for ID cards, thick documents and passports up to 5 mm, designed for reception desks, bank counters, hotels and clinics with little space. Its footprint is only 296 x 105 mm and it weighs 2 kg, because paper is fed and returned at the front instead of needing trays behind it. Ricoh rates it for 4,500 sheets per day, which covers the typical counter mix of application forms, ID copies, receipts and contracts. It connects by USB 3.2 Gen 1 and Ricoh lists drivers for Windows, macOS and Linux, so it can be added to most counter PCs. PaperStream IP handles automatic cropping, deskew and blank page removal, which keeps ID copies and forms clean without staff adjusting settings. Thin papers down to 20 g/m² and heavy media up to 413 g/m², such as certificates or folded documents, are handled through the return path, while the 20-sheet ADF takes everyday A4 forms. In practice, staff place the card or passport in the front slot, add the signed form to the feeder, press scan, and the whole customer file is saved as one PDF.
Before you order: The ADF takes A4 paper of 40 to 127 g/m² only; thicker sheets, cards and passports must go through the front return path one at a time.
What's in the Box
- Ricoh fi-800R scanner
- AC adapter and AC cable
- USB cable
- Setup DVD-ROM with PaperStream IP driver and PaperStream Capture
What It Means in Practice
- A customer's ID card and a passport photo page are scanned through the front slot in seconds, then the scanner is ready for the signed form in the ADF without changing any setting.
- Because it is only 105 mm deep, it can sit against a wall or a counter screen where a conventional scanner would not fit.
- Passport scanning with MRZ recognition speeds up check-in and KYC procedures.
- Automatic skew correction straightens pages that are fed at an angle by busy counter staff.
- Mixed sizes from 50.8 x 50.8 mm cards to Legal-length pages are supported. Scans leave from the front of the unit, so staff never reach behind a counter screen to collect originals.
What Will Not Work
- There is no network port or Wi-Fi; it connects to one PC by USB.
- It is not designed for large batches; the ADF holds 20 sheets and the rated volume is 4,500 sheets per day.
- There is no flatbed for bound books or fragile originals.
- A3 documents do not fit.
- Thick paper above 127 g/m² cannot be stacked in the ADF; it must go one sheet at a time through the return path.
Key Features
Dual path design
The ADF handles normal paper while the return path takes cards, booklets and heavy media up to 413 g/m², both from the front of the unit.
Automatic skew correction
Documents inserted crooked in the return path are straightened mechanically before scanning, so ID images come out square.
Active separation
The feeding mechanism reduces multifeeds on mixed counter paperwork, so forms are not skipped.
MRZ recognition
The MRZ line of passports can be read during scanning, removing manual data entry at check-in desks.

Frequently Asked Questions
Do I need a carrier sheet for passports?
No. Passports up to 5 mm thick go through the front return path directly; carrier sheets are an option only for very delicate documents.
Will it work with my bank or hotel software?
It uses the standard PaperStream IP TWAIN/ISIS driver, which most front-office applications support. Tell us which software you use and we check before you order.
Can it scan a stack of signed forms after the ID card?
Yes. Load up to 20 A4 sheets into the ADF; the card and the form stack can be in the same batch, so the customer's file is complete in one scan.
The unit I receive says Fujitsu, not Ricoh. Is that a different scanner?
No. Fujitsu's scanner business (PFU) is now part of Ricoh, and part number PA03795-B001 has been sold under both badges. A Fujitsu-badged and a Ricoh-badged fi-800R are the same scanner and use the same drivers, PaperStream software and consumables, so either label is fine.
Singular Expert Insight · Buyer's Guide
The fi-800R is the right answer when the problem is desk space and IDs, not page volume. Counters that scan passports and cards all day get more from its return path than from a faster feeder. If your counter also scans long multi-page contracts every hour, look at a full workgroup model instead. Tell us which counter software you use and we confirm driver support before you order.
✓ Buy it if Buy it for a reception or service counter that scans ID cards, passports and short forms in very little space.
✕ Skip it if Skip it if you scan large stacks; the 20-sheet ADF will slow you down.
→ Also consider Also consider the Ricoh fi-8250 if you need a larger ADF and a flatbed for passports and books.
